Kael and your data: how the AI assistant handles your information
You should always know what your AI assistant can see and do. This article explains how Kael, the KaelSite AI assistant, works with your data: what Kael can access, what it saves, and where you stay in control.
Your data stays yours
Kael is the AI assistant inside KaelSite, and it works for you. When you use the Kael AI assistant, it works with the information in your own KaelSite account, such as your projects, work items, inspections, documents and notes. It does not give you access to anyone else's information.
What can Kael see? In the KaelSite panel, Kael can use the information you can already access in your account to answer your questions and complete your requests. It looks at what it needs for the question you asked, for example your project dates, document counts or the files you chose to analyse.
On the public website, kaelsite.com, Kael is more limited still. The public Kael AI assistant only reads the published pages of the website. It cannot see any account, project, document or payment. See [Kael, the KaelSite AI assistant on kaelsite.com].
You choose what Kael analyses Kael does not go through your files on its own. When you ask Kael AI to analyse photos, documents or voice notes, you decide which items are included, and you can even pick specific pages of a long document.
What Kael saves
- Your chats. Your conversations with Kael in the panel are kept in your chat history, so you can come back to them.
- Descriptions and transcripts. When you ask Kael to describe a photo, summarise a document or transcribe a voice note, that text can be added to the file so it is easier to find later.
- Findings, as drafts first. Findings from Kael's analysis are saved as pending until you review and confirm them.
- Your records. When you ask Kael to create or update a project, work item, diary entry or datasheet, the change is saved to your account like any other.
- Reports. KaelSite keeps track of which reports were drafted with AI and whether they were edited afterwards.
You stay in control
- Kael acts on your request. It does not publish your reports. You edit and publish them yourself.
- Analysis findings only count once you have confirmed them.
- You can review what Kael has written in your account like any other record.
If you delete your account When your account is permanently deleted, your data is deleted with it, including your projects, files, notes, inspections and AI chats. Billing records that UK law requires us to keep are held separately from your account. See Delete your account.
Tips for keeping your data safe when using Kael
- Don't type passwords, payment card numbers or other sensitive personal details into any chat.
- Only select the files you want analysed.
- Review anything Kael writes or saves before you rely on it or share it.
